User profiles and permissions
In an innovation-oriented environment, clarity in defining roles and responsibilities is an essential factor in ensuring efficiency, security and collaboration. The existence of different user profiles allows each person to have access to the functionalities appropriate to their role, respecting specific permission levels and assignments.
This structure not only organizes the use of the platform, but also ensures that strategic decisions, technical operations and collaborative contributions occur in a fluid and controlled manner. By aligning permissions with the functions performed, a more reliable, scalable ecosystem is created and conducive to responsible experimentation, fundamental elements for the success of any innovative initiative.
Administrator
The Administrator profile grants the user complete access to all the hub’s resources and functionalities, being responsible for managing and configuring the most strategic elements of the platform.
With this permission, the administrator can carry out a wide range of configurations, ranging from the creation and management of planning cycles to the definition of gamification rules, ensuring that the environment is aligned with the program objectives and the organization’s innovation strategy.
When accessing the hub for the first time, the user with an administrator profile will have the platform’s side menu available, which centralizes access to the different functionalities and tools necessary for the administration, monitoring and evolution of initiatives within the hub.
Configuration Permissions
Hub Administration
In the Hub Administration section, the user with the **Administrator **profile has access to settings related to the hub’s functionalities and general parameters. These settings allow you to structure, control and customize the environment according to the program’s needs.
Below, we detail each of these options:
- User registration and management, with definition of access and permissions;
- Export of data from the platform, enabling the generation of reports and analysis;
- Authentication settings, covering internal and external access to the platform;
- Basic hub settings, such as name, description, information related to the segment of activity, visual identity and graphic elements (banners, images and the like)
Data Export
In the Data Export section, the administrator user can monitor and manage all exports carried out in the hub, having visibility into the history and status of each operation.
The data is exported in JSON format, allowing it to be integrated with external analysis tools and the construction of personalized dashboards to monitor indicators and information extracted from the platform.
The main objective of this section is to offer the administrator autonomy to monitor, store and manage the data available in the hub under his responsibility, enabling more in-depth analysis, consolidation of information and support for decision making.
RegistrationsIn the Indicator Registration section, the administrator user can create and manage the hub’s main monitoring indicators.
Through this functionality, it is possible to register indicators related to engagement, continuous improvement, performance and other aspects relevant to the evaluation of ongoing initiatives. These indicators serve as a basis for monitoring the hub’s evolution and measuring the results achieved over time.
The main objective of this section is to allow the user to define and track key indicators to assess the hub’s development and progress towards its strategic objectives
In the Categories and Expense Categories section, the objective is to allow the Hub Administrator to register classifications that assist in the organization and analysis of projects. Project Categories allow projects created on the platform to be segmented, facilitating their filtering and analysis in the Projects section. This organization allows the Administrator to monitor and manage the progress, results and costs associated with each project, as it evolves.
Expense Categories allow you to structure and organize costs related to projects, enabling more detailed financial analyzes and contributing to more efficient resource management.
In the Teams section, the Administrator can create and manage teams that will be used for resource allocation within projects. In this functionality, you can define the team name, add a description and activate or deactivate teams according to the hub’s needs. Later, in the Allocation section, the Administrator will be able to link specific participants to each team, allowing the monitoring and management of resources and the distribution of working hours.
In the Units section, the Hub Administrator can create and manage the organization’s service or operation units. This functionality allows users to be structured according to their respective areas, branches or departments.
Subsequently, in the Allocation section, the Administrator can link or reallocate the users that are part of each unit, organizing the distribution of human resources in a more strategic way.
The main objective of this section is to enable monitoring of the performance, evolution and productivity of each unit, offering a segmented view that supports the analysis of results and management decision-making.
Finally, the News section is intended for publishing announcements, notices and events relevant to the hub’s users. In this area, the Administrator can register and publish institutional or informative content, keeping participants updated on news, campaigns and important actions.
When creating a news story, the Administrator can define the title, insert descriptive content, add images and configure the publication visibility, determining whether the content will be accessible only to internal users or also to the external public.This functionality helps to strengthen communication within the hub, promoting greater engagement and alignment between participants.
Gamification
The **Gamification **section is intended for the management and administration of all data related to the gain, loss and exchange of points within the hub, being a strategic functionality to encourage user engagement.
Through the General Statement section, the administrator can monitor the gamification history, viewing which users gained, lost or redeemed points in a given period, ensuring control and transparency over interactions on the platform.
Still in this area, the administrator can manage the** Prize Showcase**, where it is possible to register the prizes available for exchange of points. In this functionality, the administrator can add or remove prizes, define the quantity available, the value in points, in addition to including the name and description of each prize.
In the Achievements tab, the administrator can register and manage badges associated with the main actions and behaviors expected from users. Badges can be awarded in two ways:
- Manual, allowing the administrator to directly select the users who will receive them;
- Automatic, in which rules and actions are defined that, when followed, result in the automatic granting of badges.
Finally, in the Redemptions History tab, the administrator can monitor and manage all points exchanges made by users, having visibility over completed and ongoing redemptions within the platform.
Management Permissions
Allocation
In the Allocation section, the administrator can distribute and manage the hub’s resources, allocating hours to users linked to projects registered on the platform. For more details on creating and configuring projects, see the My First Campaign section.
Through this functionality, the administrator is able to manage the resources allocated to each team, managing both the assigned workload and the projects to which these teams are associated. This centralized view allows for dynamic adjustments based on the hub’s needs
In addition to operational management, the Allocation section offers performance analysis features, enabling the administrator to:
- Evaluate team performance in specific periods;
- Identify productivity trends within each team;
- View individual and general productivity statistics;
- Optimize resource distribution based on concrete data.
Finally, the user with an administrator profile can freely customize and edit the general allocation of each team, restructuring the distribution of hours and projects whenever necessary, in line with the hub’s strategic priorities.
Projects
In this section, the user with the Administrator profile has full access to all projects created within the hub.
The administrator can create new projects from scratch or link projects to existing initiatives, ensuring flexibility in structuring and monitoring the hub’s actions.Furthermore, the hub administrator can create, link and edit all projects, regardless of whether or not they are a registered member. This permission includes the ability to start, pause or terminate projects, ensuring full control over the lifecycle of each project and allowing strategic adjustments whenever necessary.
Campaigns
In this section, the user with the Administrator profile has complete access to the creation, editing, configuration and management of all campaigns registered in the hub.
When creating a new campaign, the administrator can define essential information such as name, description, call start and end dates, selection funnel stages, and the evaluation criteria associated with each stage. It is also possible to configure whether or not the campaign will feature active gamification, among other strategic parameters.
Furthermore, the administrator can control the visibility and the participating audience of the campaigns, defining whether they will be:
- Private, being able to limit the number of users who will participate in the campaign;
- Open innovation, allowing the participation of internal and external users;
- Internal innovation, restricted exclusively to internal users of the organization.
The administrator can also define and manage the managers and evaluators responsible for the monitoring and evaluation processes of each campaign. These participants can be added, edited or removed at any time, ensuring flexibility and ongoing control over campaign governance.
Planning
In this section, users with an Administrator profile can register and configure Objectives and Key Results (OKRs), which help monitor and manage the strategic metrics established by the hub.
The administrator can create new OKRs, defining their objectives and key results, which will serve as a basis for future analysis, generating relevant insights and supporting strategic decision-making
OKRs can be linked to projects, allowing them to be viewed on a strategic goals analysis dashboard. In this panel, it is possible to identify which projects are associated with each OKR and evaluate how these initiatives contribute to meeting the defined goals.
On the dashboard, the administrator has a consolidated view of how each project contributes to the achievement of each OKR, making it easier to monitor progress, identify deviations and align execution and strategy
Collaboration Wall
On the Collaboration Wall, users with an Administrator profile have full access to the hub’s idea management features.
Through this section, the administrator can access the selection funnels for each campaign, evaluate initiatives, move them between funnel stages and exclude initiatives that are not aligned with the defined criteria or objectives.
Furthermore, the administrator can create projects directly from the initiatives in the funnel, ensuring the continuity of the innovation process. These initiatives remain accessible to the administrator, allowing monitoring and management at any time.
DashboardsIn addition, the Administrator has access to dashboards and operational reports, which present indicators, portfolio views and monitoring data related to the campaigns, initiatives and projects under their management. This information supports decision-making, prioritization of actions and monitoring of results achieved.
Manager
The Manager profile is responsible for leading campaigns, monitoring projects and ensuring that initiatives progress in a structured way within the hub. This profile acts as the link between the strategy defined by the organization and the practical execution of actions on the platform, ensuring that campaigns, projects and ideas evolve in accordance with the established objectives.
The Manager always works within a specific hub, having autonomy to create and manage campaigns, monitor projects and initiatives, in addition to accessing operational information and monitoring dashboards. However, this profile does not have administrative permissions on the system or user management.
Manager Access
Campaigns
In the context of campaign management, the Manager can create new campaigns in the hub and configure those under their responsibility, defining descriptions, objectives, process steps (such as screening, evaluation and selection), linked challenges and evaluation rules. It is also the Manager’s responsibility to define and manage campaign managers and evaluators, in addition to monitoring the progress of campaigns in real time.
It is important to highlight that the Manager can only edit or delete campaigns in which he is defined as manager.
Projects
In relation to project management, the Manager can create new projects, view projects associated with the campaigns he manages and those of which he is a member, as well as edit and delete projects in which he works directly. This monitoring includes viewing the status, responsible parties and progress of projects.
The Manager does not have access to projects outside his scope of action, ensuring operational focus and information security.
Allocation
In the Allocation section, the user with the Manager profile can create and distribute resources in hours to the members of the teams linked to the projects under their responsibility. Just like the administrator, the Manager is able to manage and administer the allocated resources, adjusting workloads according to execution needs.
This functionality offers the Manager a strategic view on the use of resources, allowing monitoring of team performance and supporting the generation of relevant insights for optimizing allocations. Based on this information, the Manager can make more assertive strategic decisions, ensuring greater efficiency in conducting projects.
Collaboration Wall
When it comes to initiatives and ideas, the Manager can view all initiatives related to the hub campaigns, track their progress through the funnel stages and interact with them within the context of the campaigns and projects. If also configured as an evaluator, the Manager can carry out evaluations directly on initiatives.As a campaign manager, he is also responsible for defining evaluators and configuring their permissions, such as the steps and challenges they can evaluate. The Manager has complete access to the evaluations, including grades, feedback and decisions, and is not subject to the restrictions applied to evaluators, which guarantees a comprehensive view of the campaign.
Dashboards
In addition, the Manager has access to **dashboards **and operational reports, which present indicators, portfolio views and monitoring data related to campaigns, initiatives and projects under their management
Finally, it is important to emphasize that the Manager **does not have administrative access **to the system. It cannot create or manage users, change access profiles, access general hub or system settings, or manage the hub. These actions are exclusive to the Administrator profile.
In summary, the Manager profile is ideal for users who lead campaigns and projects, monitor results and execution of initiatives and require operational autonomy, without the need for administrative access to the platform.
Collaborator
The Contributor profile is responsible for actively participating in innovation campaigns, contributing ideas, collaborating in the development of projects and interacting with other participants on the platform.
Employee View
In this role, the Collaborator can view public initiatives published in the hub, interact and engage with existing ideas, promoting the exchange of knowledge and the construction of relationships of mutual growth. Furthermore, you can participate in the execution and monitoring of projects to which you are linked, being able to edit and update them constantly.
The Employee may also be invited to act as an evaluator, carrying out evaluations and moving ideas within the selection funnel. When configured for this role, it can directly contribute to the campaign analysis and decision-making process.
On the other hand, the Employee profile does not have access to management or administration features. He cannot create campaigns or projects, he does not have access to dashboards and reports, nor to system settings or management modules. These restrictions ensure that the profile remains focused on collaboration and practical contribution, without access to strategic or administrative functions of the hub.
Evaluator
The Evaluator profile, although not directly part of the main types of profiles on the platform, acts as a complementary permission assigned to a user. In essence, the Evaluator maintains the base profile of Employee, not having access to administrative or management functionalities.
Appraiser’s View
User access with Evaluator permission is restricted to the Collaboration Wall, the selection funnel and the evaluation section of campaigns in which they are registered as an evaluator. Outside of this scope, the user has no additional permissions within the hub.The Evaluator’s main duties include accessing the idea funnel, moving initiatives between the stages of the funnel and evaluating ideas at each stage of the process, being able to move them forward or backward according to the criteria defined for the campaign.
Just like the Collaborator, the user with Evaluator permission can also participate in projects, acting as responsible or as a collaborator, as long as he is properly linked to them.
Participant
The **Participant **profile is intended for users who have basic access to the hub’s campaigns, with the main objective being viewing and occasional participation in campaigns that are publicly available.
Participant View on the Collaboration Wall
In this role, the **Participant **can view public campaigns and participate in them in a limited way, in addition to being part of projects in which they are registered as a member. Its activities are focused on monitoring and making specific contributions, without direct involvement in the creation or management of initiatives.
The user can also interact in a limited way on the collaboration wall, making comments and likes linked to the initiatives to which they have submitted. Furthermore, if invited, the Participant can act as an evaluator, contributing to the campaign analysis and evaluation processes
On the other hand, the Participant profile does not have access to management or administration features. He cannot create or edit initiatives, he cannot create campaigns or projects, he does not have access to dashboards and reports, nor to the system management modules.
These restrictions guarantee controlled access, focused on participation and monitoring of the hub’s actions, without involvement in strategic or administrative activities.
