Track Projects

Once a project is underway, Quiker offers dashboards and views that let you track progress, identify delays, and keep the team aligned in real time. Both managers — through the Hub — and team members — through the Hub or the Portal — have access to information about the projects they were added to. The platform consolidates tasks, indicators, and budget in a single place, eliminating the need for manual reports and making decision-making easier.

Available views

The project tracking dashboard offers four complementary views. You can switch between them using the tabs located at the top of the project page.

Updating task status

Keeping task statuses up to date is essential for the project dashboard to reflect the reality of execution. To update a task, follow the steps below.

Find the task in the list

Open the project in the Hub and go to the Task list tab. Use the status or owner filters to locate the task quickly, if needed.

Change the status

Click the task’s current status (e.g., In progress) to open the status selector. Choose the new stage — for example, Completed or Blocked — and confirm the change.

Add notes or attachments (optional)

When updating the status, you can include a note about the progress or attach an evidence file. This information is recorded in the task history and is visible to all project members.

Tip: Keep task statuses updated regularly so the Manager has an accurate view of the project’s overall progress and can act quickly in case of blockers or delays.

Monitoring indicators

The indicators linked to the project are displayed in the Indicator dashboard tab, where you can see the current value of each KPI compared to the target defined in the planning cycle. Progress is presented visually — with progress bars and percentage variations — for quick reading.

When an indicator is configured for manual entry, you can record updates directly from the project:

  1. Go to the Indicator dashboard tab.
  2. Click the indicator you want to update.
  3. Enter the new value and the reference date.
  4. Click Save update.

The recorded value will be reflected immediately in the project dashboard and also in the planning cycle’s strategic dashboard.

Budget and Gains report

The financial report lets you track the project’s budget and gains in real time. To record a new expense, follow these steps:

  1. Inside the project, go to the Budget tab.
  2. Click + Record Expense.
  3. Fill in the fields: category, amount, description, and date of the expense.
  4. Click Save.

The budget dashboard will display a consolidated summary with the planned amount, the actual amount, and the available balance for each spending category. When actual spending approaches or exceeds the planned amount, the dashboard will automatically flag and highlight the category.

Closing a project

When all deliverables have been completed, you can formally close the project. Closing consolidates the results in the strategic history and signals to the planning cycle that the initiative has been finished.

Open the project settings

Inside the project, click the settings icon (⚙️) located in the top-right corner of the page.

Select Close Project

Scroll to the Project actions section and click Close Project.

Confirm the closure

Review the summary displayed and click Confirm closure. The project will change to the Closed status and will no longer accept new task or expense records.

Note: Closing a project consolidates the results in the planning cycle’s strategic history. Tasks not completed at the time of closure are marked as pending in the history and can be reviewed at any time.

Frequently asked questions

Can I reopen a closed project?

Yes, as long as you are an Administrator or the Manager responsible for the project. To reactivate it, open the closed project’s settings, scroll to the Project actions section, and select Reactivate project. The project will return to active status and can receive new tasks and financial records as usual.

How do I share progress with stakeholders?

You can export the full project report as a PDF directly from the project dashboard — just click Export in the top-right corner. Another option is to share the direct link to the progress view with anyone who has Hub access. If the stakeholder does not have Hub access, consider publishing the project on the Portal, where they can follow updates with Participant permissions.
